How to add and edit events

Plan an event with a time, place and spots, for everyone or one Circle.

Leaders, Admins and Owners can add events, and so can any parent if the group's Admins allow it in Settings. Whoever adds an event can edit or delete it. Everyone else can see it and answer.

Add an event

  1. Open the group's Calendar tab and tap New event. Or, on the Event Calendar, tap Add an event and pick the group under For.
  2. Fill in:
    • What: the event's name.
    • Starts, and Ends (optional).
    • Where: an address or place name (optional). It shows a Map link.
    • Online link: a Zoom, Google Meet or Teams link for an online class or meeting (optional). Families get a Join online button.
    • For: Everyone, or one Circle.
    • Spots: how many people can come, adults and children together. Leave it blank for no limit.
    • Details: what to bring, cost, who to contact.
  3. Tap Create event.

Everyone the event is for gets an email about it right away, so they can answer.

Import from another calendar

Moving from BAND, Google Calendar or Facebook? On the Calendar tab, tap Import.

  1. Paste the calendar's iCal link (it starts with https:// or webcal://), or choose an .ics file you exported.
  2. Tap Find upcoming events. You'll see everything in the next 12 months, with repeating events listed date by date.
  3. Untick any you don't want, choose who they're For, and tap Add.

Events already on your calendar (same name and time) are skipped. Families aren't emailed about imported events.

In Google Calendar, the link is under the calendar's Settings → "Secret address in iCal format" (or "Public address" for a public calendar).

Repeating events

For a weekly park day or a monthly field trip, set Repeats when you add the event:

  • Every week or Every 2 weeks.
  • Every month: the same week and day, like the 2nd Friday. Events on the 29th–31st repeat on the last one of that day in each month.

Then pick Until, the last date it can happen. You can make up to 52 dates at once. Each date is its own event, so families answer, and sign up, for each one. One email goes out for the whole series.

Edit or delete

  1. Open the event from the Calendar tab.
  2. Tap Edit, make your changes, then tap Save changes. For a repeating event, choose Only this date or This date and all later ones first. Moving the time or day moves every later date by the same amount.
  3. Or tap Delete to remove it. For a repeating event, tap Delete this date or Delete this and later dates.

If you add spots to a full event, families on the waitlist move up on their own.

Remind families who haven't answered

On an upcoming event, Leaders, Admins and whoever added it see Not answered yet with how many families haven't said whether they're coming. Tap Remind the … families who haven't answered to email their parents (and send a phone notification to anyone who turned those on). You can send a reminder once every 12 hours.

Check families in

From the day of the event (and for a week after), the same people see Check-in on the event. Tap Check in as each family arrives; it turns into ✓ Here, and tapping it again undoes it. Families who said they're coming are listed first, then everyone else in the group. Each family can see whether they were checked in; other families can't.

Planning something just for your family, like a dentist visit or a weekly lesson? Add it as a family event instead. See How to plan family events.

The Calendar tab

Coming up lists upcoming events. Tap Past events to look back, and Upcoming to return. A Full badge means there are no spots left.

From a date poll, Leaders can tap Make it an event → to start an event with the date filled in. See How to run a poll.

Up to date as of October 30, 2026.
