How to track ESA funds

Keep each student's ESA deposits, purchases, receipts and reimbursements in one place, and see what's left.

Parents can track each student's education savings account (like Arizona's Empowerment Scholarship Account) on Records → ESA funds. It's your own record: you still spend and submit on your program's site (ClassWallet, Odyssey or another). Only parents see it; teens don't. It's part of Hearth.

Set it up

  1. Open ESA funds.
  2. Choose your Program. You'll see your state's programs first (set your state on My family), like Arizona Empowerment Scholarship Account (ClassWallet), Utah Fits All Scholarship (Odyssey) or Florida's Step Up For Students programs. If yours isn't listed, pick Another program on ClassWallet, Odyssey or elsewhere and type its name.
  3. Tick the students who have an ESA, then tap Start tracking.

Add deposits and purchases

Tap Add a purchase or Add a deposit, then pick the student, the date and the amount. Cancel closes the form without saving.

  • Deposit: add a note if you like (Q2 deposit).
  • Purchase: add Where from and What it was, a Category, and how it was Paid with: Marketplace, Direct pay, Reimbursement or Other.
    • Choose the Course of study it's for (any course or subject in your planner), or describe it. Many programs, including Arizona's, ask families to show what each purchase is for.
    • Attach a Receipt (a PDF or photo). It's stored privately; only parents can open it.

Reimbursements

A reimbursement starts as Submitted. When your program approves, pays or denies it, change its status on the student's list and tap Update. Each student's card shows how much is still waiting.

What's left

Each student's card shows the money left in the account: deposits minus what's been spent. Paid reimbursements count as spent; ones that are submitted or approved show as waiting; denied ones don't count. Open a student to see the year by quarter (July–September, October–December, January–March, April–June) and every entry. Use the arrows to see other ESA years, which run July to June.

Reports and deadlines

Under Reports, tap Make a report for a printable summary of each student's ESA for a quarter or the whole year: balances at the start and end, deposits, every purchase grouped by category with its course of study, how it was paid, and whether its receipt is saved. Choose the ESA year, Period and Student, tap Show, then Print (or save it as a PDF). Use it for your program's expense report or a review.

Some programs ask for reports on set dates, and those show in Coming up on Home and on the Event Calendar, with a reminder at the top of Home in the two weeks before:

  • Arizona ESA: a quarterly expense report by the 20th of September, December, March and June.
  • West Virginia Hope Scholarship: the annual academic report by June 8 and the renewal confirmation by June 15.

Florida's PEP (a learning plan and test results before renewal) and Texas (keep receipts for the yearly audit) get a note on the page instead. Always check your program's handbook for its current dates.

Missing receipts and courses

Purchases without a receipt or a course of study are marked No receipt or No course of study, and each student's card counts them, so you can fix them before a report is due. The report marks them too.

Download a year

Tap Download … as a spreadsheet (CSV) for every deposit and purchase in that ESA year.

Gatherings doesn't decide what your program allows. Check your program's handbook for qualified expenses and what to keep.

The menu under ESA funds has more: Course of study, Budget, Requests & appeals, Letters, Vendors, Reminders and Review packet. See ESA tools.
