How to run a duty rota
Share co-op jobs like snack, setup and cleanup: families take turns, swap when they can't make it, and get a reminder the day before.
A duty rota shares a regular job, like snack, setup, cleanup or nursery, among your group's families. Find it on your group's Sign-ups tab under Duty rotas.
Set one up (Leaders and Admins)
- Open Sign-ups → Duty rotas and tap New duty.
- Name it, say how many families are needed each day, tick the days it happens (like Tuesday and Thursday), and give the first and last dates (up to about a year).
- Tap Add the duty, then Fill the rota. Gatherings gives each open day to the families who've had the fewest turns so far, taking turns fairly, and never the same family twice in one day.
Families who join later get turns the next time you tap Fill the rota. You can also put a family on a day with Assign, or take one off with ✕. Change edits the duty; Delete removes it and its rota.
Your family's turns (parents)
- Your family's turns at the top of Duty rotas, and Your duties this week on Home, show what's coming up.
- See an open day you can help with? Tap We'll do it.
- Can't make your turn? Tap Can't make it? Ask for a swap. Other families see it under Families asking for a swap and can tap We'll take it; the turn becomes theirs. Until someone does, it's still your turn.
- The day before your turn, the family's parents get a reminder (by email, or on your phone if you've turned notifications on).
Everyone in the group can see the rota, so families know who's bringing snack.
